This policy explains how IVV WEBSHOPS PTE LTD handles personal data in its internal reporting dashboard ("the dashboard"). IVV WEBSHOPS PTE LTD operates several online stores and is the controller for the data described below.

Who this applies to

The dashboard is an internal tool. It is used only by our own employees and it is not offered as a product or service to anyone else. It has no public sign-up, and no third party is given an account.

What data we process

• Advertising statistics from ad accounts we own on advertising platforms (such as Meta, Pinterest and Google): amounts spent, impressions, clicks and conversion counts, per advertisement and per day. These are aggregated statistics about our own campaigns. We do not receive or request personal data about the people who saw or clicked our ads.
• Order data from our own online stores: order totals, discounts, taxes, shipping amounts, refunds, and the products ordered. This includes the customer's email address, which is used to relate an order to a support conversation.
• Customer support conversations from our helpdesk: the message content, timestamps, the customer's email address and which of our agents replied. We use this to measure response times and to identify recurring problems.
• Employee data: the hours our own staff work (from our time-tracking tool), the tickets they handled, and their contact details as an employee.

Why we process it

Solely to operate and report on our own business: measuring sales and margins, evaluating advertising performance, improving customer service response times, and planning staffing. Our legal basis is our legitimate interest in running and improving our business, and, where it concerns our employees, the performance of their employment contract.

What we do not do

• We do not sell personal data.
• We do not share it with third parties for their own purposes.
• We do not use it for advertising targeting or profiling of individuals.
• We do not combine advertising platform data with individual customer records.

Where the data comes from and where it goes

Data is retrieved from the systems we already use to run our stores — our webshop platform, our helpdesk, our advertising accounts, our fulfilment provider and our time-tracking tool — using credentials issued to us by those providers. The dashboard reads from them; it does not publish or write anything back to advertising platforms. Data is stored on a server we operate, and the dashboard does not transfer it anywhere else.

Security

Access requires an individual account, and access to sensitive information is limited by role, so employees see only what their job requires. All access credentials for connected systems are encrypted at rest, and connections to those systems use encrypted transport.

Retention

We keep the data for as long as it is needed for the reporting described above and to meet our legal obligations, such as statutory retention periods for business and tax records. Data that is no longer needed is deleted.

Your rights

If you are a customer or an employee, you may request access to your personal data, or ask us to correct, delete or restrict it, and you may object to processing. Contact us using the details above and we will respond within the period the applicable law allows. You may also lodge a complaint with the data protection authority that supervises us in Singapore, or, if you are in the European Economic Area or the United Kingdom, with your local supervisory authority.
